Privacy policy
How we handle personal information.
Last updated 23 October 2026.
143 Meridian Pty Ltd (ACN 699 140 353), trading as Club Builder ("we"), builds and looks after websites and communication for grassroots sports clubs and community organisations. This policy covers clubbuilder.com.au and 143meridian.com.au, the club websites and previews we host (including sites on jrlc.com.au), and the emails we send and receive. It does not cover Trustar, which has its own policy.
We follow the Australian Privacy Principles in the Privacy Act 1988. Because so much of our work involves junior sport, we also follow the direction of the Children's Online Privacy Code being developed by the Office of the Australian Information Commissioner. We will update this policy when that code is finalised.
Junior players
Club websites are read by families and often mention children. On every site we host, by default:
- players under 18 are shown by first name and surname initial only (for example "Tama F.")
- we don't publish dates of birth, addresses or individual statistics for players under 18
- photos that show players under 18 are only published when the club has recorded consent; otherwise a placeholder is shown
- results and ladders are shown at team level
- anyone can ask for a child's name or photo to be taken down at any time, whatever consent was given (see data deletion). We remove it from public view within two business days and let the club know
We don't knowingly collect personal information directly from children, and our services aren't designed for children to use.
What we collect
When you contact us
Your name, organisation, email address and message, from our enquiry form or your email.
Club contacts
To introduce our service to clubs, we record club details and committee contact information that clubs or their associations publish, such as competition profiles, association directories, club websites and public social media pages. We note where each detail came from. We contact clubs only at published addresses, say who we are in every message, and stop as soon as you ask.
Visitors to our websites and club websites
Our hosting records basic information about each page request: the page, the time, an approximate location (city and country, worked out from your internet address by our hosting provider) and your browser type. On previews we use this to see whether a preview has been opened. On club websites we count page views and button clicks (such as "Register online") so we can tell the club how the site is used. We don't use cookies, advertising trackers or cross-site tracking. Our websites remember your day or night display choice in your own browser.
Content we publish for clubs
News, photos, fixtures, results, sponsor details and committee role contacts that a club gives us or approves. The club decides what is published and is responsible for having permission to share it. We publish it on the club's behalf and apply the junior player rules above.
Payments
When a club pays us, card payments are handled by our payment provider and we don't see or store card numbers. We keep invoices and payment records.
How we use it
- to provide, run and improve our services and the websites we host
- to reply to enquiries and talk with clubs about our services
- to keep our services secure and prevent misuse
- to meet legal and tax obligations
We don't sell personal information, and we don't use it for advertising.
Automated tools and AI
We use software, including AI tools, to help draft messages, organise information and screen incoming email. For example, email we receive is automatically checked for spam, scams and messages that need a person's attention straight away, such as safeguarding concerns. During our pilot, a person reviews every message before it is sent to a club. Safeguarding, complaint and disciplinary matters are always handled by a person.
Who we share it with
We share personal information only with service providers that help us run our services, and only as much as they need:
- Microsoft (email)
- Cloudflare (hosting and delivery of club websites and previews, and site statistics)
- DigitalOcean (hosting of clubbuilder.com.au and 143meridian.com.au)
- AI service providers that help us draft and screen messages, including OpenAI, Anthropic and TypeSafe
- our payment provider, when a club pays by card
- Meta, only if a club connects its Facebook Page or Instagram account to its website (coming soon)
Some of these providers store or process information outside Australia, mainly in the United States. We choose established providers and take reasonable steps to make sure they protect it. Our client records system is hosted on our own equipment in Sydney. We may also disclose information when the law requires it.
How long we keep it
- Previews: come down straight away if anyone uses the "Not interested" button on the preview, and otherwise on their expiry date (30 days after we create them). After that the link goes to our general page. A removed preview's files are deleted straight away, and an expired preview's within 90 days
- Visit records: 24 months, so we can learn what's useful to clubs. After that we keep only daily totals that don't identify anyone
- Club contact records: until you ask us to stop contacting you, or 2 years after our last contact with the club
- Enquiries: 2 years
- Client records: for as long as we work with the club, then 7 years for financial records
Your choices
You can ask to see the information we hold about you, correct it, or have it deleted. Email hello@143meridian.com.au. We'll reply within 5 business days and finish most requests within 30 days. To stop hearing from us, reply "stop" to any of our emails.
If you're concerned about how we've handled your information, please tell us first so we can fix it. If you're not satisfied with our response, you can contact the Office of the Australian Information Commissioner at oaic.gov.au or on 1300 363 992.
Changes
We'll update this page when our services or the law change. The date at the top shows the latest version.
